Set up schedule policies
Make your own timetables, such as monthly on the 25th, for recurring invoices, recurring bills and recurring journals.
In this article
A schedule policy says when a recurring document is created: for example every day, every month on the 1st, or every quarter. You pick one when you set up a recurring invoice, a recurring bill or a recurring journal.
WbizManager comes with system policies you can use straight away: Daily, Weekly on Monday, Every 2 weeks on Monday, Monthly on the 1st, Monthly on the last day, Quarterly on the 1st, Half-yearly on the 1st and Yearly on 1 January. You only need this page if none of them fits.
Steps
Open Settings › Schedule Policies
In the menu on the left, select Settings, then Schedule Policies.
- Schedule Policies in the Settings menu.
- New policy creates a policy from scratch.
- System policies: they ship with WbizManager and can't be changed. Your own policies are listed above them, under Your policies.
- Usage: how many schedules use the policy.
- The actions menu (⋮): View or Edit, Duplicate, Archive and Delete.
Fill in the rule
Select New policy and fill in the form. The Next dates panel on the right shows the next five dates the rule gives, so you can check it as you go.
- Name: for example Monthly on the 25th. Required, up to 150 characters.
- Frequency: Daily, Weekly, Monthly, Quarterly, Half-yearly or Yearly.
- Repeat every: 1 means every month (or week, or day); 2 means every second one. Between 1 and 366.
- Day of the month (monthly and longer): On day a number from 1 to 31 (31 means the last day in shorter months), On the last day of the month, or On the same day as the schedule's start date. Weekly policies show On with the weekdays instead; none ticked means the weekday of the start date. Yearly policies also have Month (or Same month as the start date).
- When the date falls on a weekend: Keep the date, Move to the Friday before or Move to the Monday after.
- Ends: Never, After a number of occurrences (then enter Number of occurrences) or On a date (then enter End date).
- Next dates: change If a schedule starts on to see the dates for another start date. Nothing is saved.
- Save.
Save
Select Save. Your policy appears under Your policies and can be picked on recurring invoices, bills and journals.
Archive or delete a policy
- Archive stops the policy being offered for new schedules. Schedules already using it carry on.
- Delete is only possible when no schedule uses the policy. Otherwise archive it, or move the schedules to another policy first.
