Set up payroll settings

Set the pension rates and pro-rating a payroll run uses, which setting is current, and who is emailed and who may approve at each payroll approval stage.

For hr and payroll administratorsUpdated 4 Nov 2026

A payroll setting holds the pension percentages and the pro-rating choice for a payroll month. A payroll run uses the setting for its own month when there is one, otherwise the current setting. The same screen sets who is told, and who may approve, at each stage of a payroll run.

Steps

  1. Open Payroll settings

The screen lists every setting by month. The one marked Current is used for any month without its own setting.

    1. Add setting.
    2. The settings, with Edit, Set as current and Delete on each.
    3. The current setting.
  2. Add a setting

    Select Add setting.

    1. Payroll month (for example January) and Payroll year (for example 2027).
    2. Pension employee % and Pension employer %.
    3. NHIS isn't set here. Payroll calculates it only from an NHIS header on the employee's payroll template.
    4. Use pro-rating: tick it to pay people who join during the month only for the days from their start date.
    5. Create.
  3. Choose the current setting

On the setting most months should use, select Set as current.

  4. Set the approval rules

    Under Approval, below the list:

    • Enforce separation of duties: when on, whoever generated a run can't give the HR approval, and nobody can approve two stages in a row. Leave it off if one person runs payroll alone.
    • Stage notification emails: for HR approval, Audit approval, MD approval and Accounts approval, enter the addresses (separated by commas) to email when a run is waiting at that stage.

Select Save approval settings. You'll see Approval settings saved.
