Inventory requisitions are internal requests for stock from your own stores, for example consumables for an office or a site. (Requests to buy things are material requisitions in Purchases.) Requisition settings set the rules for them. Changes apply to new decisions only.

Steps

  1. Open Inventory › Requisitions › Settings

In the menu on the left, select Inventory, then Requisitions, then Settings.

    1. Settings under Inventory › Requisitions.
    2. Insufficient-stock approval.
    3. Reservation.
    4. Default reservation location and Reservation expiry (hours).
    5. Posting by purpose.
    6. Save changes. It is greyed out until you change something.
  2. Choose what happens when stock is short

    Under Insufficient-stock approval, choose:

    • Allow with warning: an approver can approve more than is available, after a warning and a second confirmation.
    • Limit approval to available stock: the approved quantity can't be more than is available at the time of approval.
  3. Choose whether approved stock is reserved

    Under Reservation, choose:

    • Automatic on final approval: stock is reserved once, right after the final approval.
    • Manual by Inventory Manager: the store reserves approved stock itself.
    • No reservation: approved stock isn't reserved.

Reserving stock holds it for the requisition; it doesn't change Quantity On Hand. If you reserve, choose the Default reservation location (where automatic reservations are held) and, optionally, Reservation expiry (hours). Leave expiry empty if reservations should never expire; otherwise enter a whole number of at least 1.

  4. Choose how each purpose posts

Under Posting by purpose, choose a General Business Posting Group for each purpose: Administrative, Commercial, Production, Maintenance and Other. Leave The tenant's default group to use your default group.

When stock is issued, the purpose's business group and the item's product group pick the expense account from the general posting setup. Add groups in General Business Posting Groups and accounts in General Posting Setup (the links under the table open them).

  5. Save

Select Save changes. You'll see Settings saved.
