Apply for leave
Ask for time off from your own workspace. Pick a leave type and dates, name who will cover, and send it to your supervisor.
Before you start
- Set up employees and supervisorsHR adds your employee record with the same email you sign in with, and sets your supervisor (the person who approves your leave first).
- Set up leaveHR sets up the leave types you can pick and how many days you get each year.
- Set up HR settingsHR marks the public holidays that are left out of your leave days.
In this article
You apply for leave from My Portal › My Leaves. Your request goes to your supervisor first and then to HR. While it waits, the days are held so you can't book them twice.
Steps
Open My Leaves and select Apply for leave
In the menu on the left, select My Portal, then My Leaves. If you use the HR menu instead, it's HR › Leave › My Leaves. Select Apply for leave.
- Apply for leave opens the request form on the right.
- Only for supervisors: requests from your team that are waiting for you. See Approve leave.
- Balance: the days you have left for each leave type this year, after approved and pending requests.
- Your requests, by status.
Choose the leave type
- Select a leave type. Each card shows the longest request allowed (Up to … days), which days count (for example Mon–Fri), and Handover if you must hand over your work.
- Your balance for that type this year. If your dates use more days than you have left, you're warned and the request will be refused.
- Submit request sends it when you've filled in the rest.
Pick your dates and give a reason
- First day and Last day of your leave.
- The days deducted: WbizManager counts the calendar days, working days and public holidays, and shows the Days deducted. Weekends (for weekday-only leave types) and public holidays aren't counted.
- Reason: a sentence or two for your approver. Required, up to 500 characters.
- This is an emergency: flags the request so approvers see it first. You then don't have to name a colleague to cover.
Name who will cover, add a document and submit
- Colleague: who will handle your work while you're away. Required unless the request is an emergency.
- Handover notes: open tasks, deadlines and who to contact. Required when the leave type needs a handover.
- Supporting document: optional, for example a medical certificate. PDF, Word or an image, up to 5 MB.
- Submit request sends it to your supervisor.
If something goes wrong
| Message | What to do |
|---|---|
| Choose who will cover — it's required unless this is an emergency. | Pick a Colleague, or switch on This is an emergency if it really is one. |
| Add handover notes for your cover. | This leave type needs a handover. Write a few notes for your colleague. |
| … allows at most … days per request. | Shorten the dates, or split the leave into two requests. |
| Not enough days left, or Insufficient leave balance. Available: … days, Requested: … days | You've asked for more days than your balance. Shorten the request or talk to HR. |
| Leave duration exceeds maximum allowed (… days) | The request is longer than the leave type allows. Shorten it. |
| No leave types are active yet. | HR hasn't set up leave types. Ask them to follow Set up leave. |
What happens next
- Your supervisor approves or rejects it. Their name is the Reporting To person on your employee record, set by HR in Set up employees and supervisors. If they are on leave, your secondary supervisor gets it instead.
- HR gives final approval. The days are then taken off your balance and you get an email.
- If either of them rejects it, the held days come back and you get an email with the reason.
Follow it, change it or cancel it in Track your leave.
