A KPI template is the list of KPIs for one role or department, for example "Accounts Payable Officer". You apply it to an appraisal template to fill the appraisal's KPI section in one go, instead of typing the KPIs into each appraisal template. The weights in a KPI template must add up to exactly 100%.

Steps

  1. Open HR › Performance › KPI Templates

In the menu on the left, select HR, then Performance, then KPI Templates.

    1. Create KPI Template opens a small menu.
    2. Single Template builds one template.
    3. Batch Create builds several templates on one screen.
    4. Bulk Upload imports templates from a spreadsheet.
    5. Each card shows the department, the KPIs, whether it's Active, how many KPIs it has and their total weight. The ⋮ menu has View Details, Edit Template and Delete.
  2. Build a single template

Select Create KPI Template, then Single Template.

    1. Total Weight Distribution must show 100%. Balance Weights Evenly splits 100% equally across the rows; Add KPI adds a row.
    2. Template Name: for example "Accounts Payable Officer". Required.
    3. Department. Required.
    4. Description & Purpose: who it's for and what's expected. Required.
    5. Each KPI row: KPI Name, Weight (%), Target, Unit Type (Percentage, Currency, Number, Rating Scale, Time or Others) and a description of how it's measured. Name and unit are required.
    6. Add KPI Row adds another KPI.

Select Save KPI Template at the top right. Live Preview and Split show how the template will look.

  3. Or build several templates at once

Select Create KPI Template, then Batch Create.

    1. Each template is a card with its own number. A green badge shows its total weight.
    2. Fill in Template Name, Department and Description for each card; all three are required.
    3. Auto Balance splits the weights evenly; Add KPI adds a KPI row (a new card starts with four).
    4. The copy icon duplicates the card, so similar roles are quick to set up.
    5. Create All saves every template. Each template's weights must total 100%.

Select Add Another Template to Batch at the bottom of the page for another card.

  4. Or upload them from a spreadsheet

    Select Bulk Upload.

    1. Download Template gives you a CSV with the right column headers.
    2. Fill it in and drop it here: CSV, Excel (.xlsx or .xls) or ODS. Duplicates are detected and flagged.
    3. Upload KPI Templates imports them. A template whose weights don't total 100% is rejected.

If something goes wrong

MessageWhat to do

What employees and managers see

The KPIs, weights and targets in the template become the rows of the KPI Assessment tab once the template is applied to an appraisal template and assigned. Employees score themselves against each target, and managers score each KPI. See Complete your appraisal and Appraise your team.
