Review appraisals as HR
Follow every appraisal in the cycle, then approve or reject each one once the line manager has finished, and see the employee's and manager's sign-off.
Before you start
- Launch an appraisal cycleAppraisals exist only after a template is assigned in an active cycle.
- Set up employees and supervisorsHR can only decide after the employee's line manager has completed the review.
- Set up HR settingsThe decision email to the employee uses the email templates in HR Settings.
HR makes the last decision on each appraisal. The order is fixed: the employee submits a self-assessment, the line manager completes the review, then HR approves or rejects. After approval, the employee and the line manager each sign off.
Steps
Open HR › Performance › Appraisals
In the menu on the left, select HR, then Performance, then Appraisals.
- Counters: total appraisals, completed (HR-approved), in progress, and the average score.
- Filter by status, rating and department, or search by name, number or department. Export Report downloads the list.
- Each card shows the employee, department, cycle and status, with the score once there is one. View Details opens the HR review; the bin icon deletes the assignment (not possible once approved).
The status follows the appraisal: Not Started, Self-Assessment In Progress / Draft / Completed, Manager Assessment In Progress / Draft / Completed, Review Scheduled, Under Review, Approved or Rejected.
Open an appraisal
Select View Details.
- The status, and Reject and Approve. They stay greyed out ("Awaiting manager completion") until the status reaches Manager Assessment Completed, Review Scheduled or Under Review.
- What's happening now, for example "Not Yet Started: the employee has not begun their self-assessment".
- Sign-off: whether the employee and the line manager have confirmed they read the final appraisal.
- Final appraisal form opens the complete form to print or save.
- The KPI, behavioural, self and final scores. Further down: each KPI and competency with the employee's and the manager's scores, comments and attachments, and the manager's summary.
Approve or reject
When the manager has finished, read the scores and the manager's summary.
- Approve: confirm in the window ("This action is permanent"). The appraisal becomes Approved, the final score counts in reports and Top Performers, and the employee gets an email and in-app notice.
- Reject: type the reason (required, "so the employee knows what to fix before resubmitting") and select Reject Appraisal. The appraisal goes back to the employee as Rejected; they can edit and resubmit it even after the self-assessment deadline.
Check the sign-off
After approval, the employee and the line manager each open the appraisal and sign off. Each chooses whether they agree; if they disagree they must add a comment. The Sign-off panel shows who has signed and any disagreement.
If something goes wrong
| Message | What to do |
|---|---|
| Appraisal cannot be approved in its current status | Wait until the line manager completes the review. |
| A reason is required when rejecting an appraisal… | Type why you are rejecting it. |
| Cannot delete an approved appraisal. Archive or reject it first. | Approved appraisals stay on record. |
What employees and managers see
- Employees get the HR decision by email and in-app notice. If approved they see the final result and the sign-off panel; if rejected they see your reason and can resubmit. See Complete your appraisal.
- Line managers see the status change in Team Appraisals and sign off after approval. See Appraise your team.
