A material requisition is a request to buy or issue goods or services. It's the first step of the purchase process. Once it's approved, procurement turns it into a request for quote or a purchase order.

Steps

  1. Open Purchases › Procurement › Requisition

In the menu on the left, select Purchases, then Procurement, then Requisition. Select Add New.

    1. Add New starts a new material requisition.

The list shows each requisition's status (for example Open or Converted to PO) and its approval status (Draft, Awaiting approval, Approved, Sent back for change or Rejected).

  2. Fill in the details and the lines

    1. Priority: Low, Medium, High or Urgent. Required.
    2. Delivery Date: when you need it. Required.
    3. Delivery Location: the store or site it should go to.
    4. For each line, choose Inventory to pick a product from your list, or Free Text to type a description for anything that isn't in the list.
    5. Product/Service: the item. For stock items you'll see how many are in stock.
    6. Quantity: how many you need. A line needs a product and a quantity of more than zero.

Fill in Amount if you know the expected price; Total works itself out. If the line is for a project, choose it in Project. Its budget is checked when you send the requisition for approval.

  3. Add dimensions, a justification and attachments

    1. Add lines adds another line. Clear all lines removes them all.
    2. Choose a value for every global dimension (here Project and petrol). You can save a draft without them, but not send it for approval.
    3. Description / Justification: why you need it. This text also appears on the request for quote.
    4. Add attachment adds quotes, specifications or photos.
    5. Save as Draft keeps it so you can finish later.
    6. Send for Approval sends it to the approvers.
