Approve a material requisition
Review a material requisition that is waiting for you, then approve it, send it back for changes, or reject it.
Before you start
- Create a material requisitionSomeone has to send a requisition for approval before it reaches you.
- Set up approval workflowsThe Material Requisition workflow decides who approves requisitions, and in what order.
In this article
When someone sends a material requisition for approval, it waits for each approver in turn. You see the requisitions waiting for you in two places: Approvals › Workflows (everything waiting for you, from every module) and Purchases › Procurement › Approval › Requisition Approval (requisitions only).
You can't approve a requisition you raised yourself. It shows in your list, but only the next approver can approve it.
Steps
See what's waiting for you
In the menu on the left, select Approvals, then Workflows. Awaiting My Approval lists everything waiting for your decision, with who asked for it and how far along its approval is.
- Workflows in the Approvals menu.
- Awaiting My Approval: how many items need you.
- Each request, with its requester and approval progress.
Open the requisition approval list
Go to Purchases › Procurement › Approval › Requisition Approval. The list shows only the requisitions waiting for your decision. When there are none, it says No requisitions waiting for you. Search, or narrow it with From date and To date. Select a requisition number to read it first.
- Requisition Approval in the Procurement menu.
- The requisitions waiting for you, each marked PENDING.
- The actions menu (⋮) on a requisition.
Choose your decision
Open the requisition's actions menu (⋮):
- Preview or View to read the requisition. View Comments shows what earlier approvers wrote.
- Approve passes it on, to the next approver or, after the last one, back to procurement to buy.
- Send Back for Changes returns it to the person who raised it, so they can fix it and send it again.
- Reject stops it.
- Approve.
- Send Back for Changes.
- Reject.
Add a comment and confirm
In the Approve Material Requisition window, add a comment if you want to (it's optional), then select Approve Requisition.
- The requisition you're approving.
- Comments (optional).
- Approve Requisition.
You'll see Requisition approved successfully.
What happens next
When the last approver approves it, the requisition's approval status becomes Approved, and procurement can turn it into a request for quote or a purchase order. Purchase orders are approved the same way: see approve a purchase order. If you sent it back, the requester sees Sent back for change with your comment.
If something goes wrong
| What you see | What to do |
|---|---|
| The requisition isn't in your list | It's waiting for another approver, or it was already decided. Check My Requests or ask the requester. |
| Only Cancel request appears when you open it | You raised it yourself. Someone else must approve it. |
