Check in on a PIP
As the monitoring manager of a performance improvement plan, record regular check-ins, tick off milestones and help HR close the plan.
Before you start
- Run a performance improvement planHR creates and activates the PIP and names you as its monitoring manager.
- Set up performance settingsIf HR turned on automatic PIPs, a low score in your review starts one for you to monitor.
In this article
When one of your team members is on a performance improvement plan (PIP), you are usually its monitoring manager. Your job is to meet them regularly (weekly or every two weeks, as set on the plan), record each check-in and tick off milestones as they're reached.
Steps
Open the PIP
In the menu on the left, select HR, then Performance, then PIP, and select View PIP Details on the employee's plan.
- Edit (drafts only).
- Review & Activate (drafts only; usually HR does this).
- The ⋮ menu: Complete PIP, Extend PIP and Cancel PIP for an active plan.
- Dates, duration and progress.
- People: the employee, you as monitoring manager, and the HR representative.
Record a check-in
On an active or extended plan, select Add Check-in. Fill in:
- Progress Rating: On Track, Needs Attention or Off Track.
- A summary of progress since the last check-in, achievements, improvements seen and challenges.
- Concerns: especially if the rating is Needs Attention or Off Track.
- Next actions before the next check-in, with owners and dates.
- Private notes: coaching notes not shared with the employee.
Save it ("Check-in recorded successfully!"). The check-ins list on the PIP shows each one with its rating.
Tick off milestones
When the employee reaches a milestone, open it on the PIP, mark it complete and add notes on how it was achieved.
At the end
Agree the outcome with HR. HR (or you, if you have the rights) selects Complete PIP and chooses Successful, Unsuccessful or Terminated, with notes. If more time is needed, Extend PIP once, with a reason.
The check-in form couldn't be photographed for this guide: the only PIP on staging is a draft, and check-ins open only on active plans.
What happens next
HR follows all plans on the PIP list and in View performance reports. How HR creates plans is in Run a performance improvement plan.
