Approve loans
Line managers don't approve staff loans. See who does, what you can tell your team, and where to go if you are the HR or MD approver.
Before you start
- Set up loansHR decides who approves loans at each step, by giving the loan approval permission to the HR and MD roles.
Unlike leave and expenses, staff loans don't go to the employee's line manager. Being someone's supervisor in WbizManager doesn't give you a loan to approve, and the Manager Workspace has no loan screen.
Who approves a loan
| Step | Who | Where | Guide |
|---|---|---|---|
| Step 1 (HR) | HR, with the HR-Admin role | HR › Loan › Approvals (step 1) | Approve loan applications |
| Step 2 (Management) | The Managing Director, with the MD role (or anyone given the step) | Loan Approvals in the MD menu, or HR › Loan › Approvals (step 2) | Approve loan applications |
| Offer | The employee | My loans | Accept a loan offer |
| Payout | HR or finance | HR › Loan › Disbursements | Disburse a loan |
Who has which step is set by user roles, not by the Reporting To field on the employee record. See Set up loans.
If you are the Managing Director
- When HR approves a loan, you get an email (if HR added your address under MD notification routing) and, if your email matches your employee record, a notification.
- Open Loan Approvals in your menu. The page is called Loan Approvals — Step 2 (Management).
- Select Approve (you can lower the Approved Amount) or Reject with a reason.
The full steps, with screenshots, are in Approve loan applications.
Helping your team
If someone in your team asks about a loan:
- they apply themselves from My Loan: Apply for a loan;
- they can see where it is, and the reason if it was rejected, under View Details: Accept a loan offer;
- loan types, limits and eligibility rules are HR's: Set up loans.
