As a supervisor you give the first approval on your team's leave. Once you approve, the request goes to HR for the final decision. If you reject it, it ends there.

You see a request when you are the employee's primary supervisor, or their secondary supervisor while the primary one is on leave. Your role must include leave approval (the Supervisor role does).

Steps

  1. Open Leave Approvals

    Use any of these:

    • Manager Workspace › Leave Approvals in the menu on the left;
    • Approvals in the left rail, then Leave approvals;
    • the amber box … team leave requests waiting for your approval at the top of your own My Leaves, then Review;
    • HR › Leave › Pending Approvals if you use the HR menu.

    1. Waiting, Start within 7 days, Emergency and Longest wait tell you what to do first.
    2. Search by name, department or reason, filter by leave type, and sort. Most urgent first puts the soonest start dates first.
    3. One request: the employee, leave type, dates, days deducted, their reason and when they applied. EMERGENCY marks urgent requests.
    4. Reject turns it down.
    5. Approve sends it on to HR.

    Select Details to see the full request: the colleague covering, the handover notes and any attachment.

  2. Approve a request

    Select Approve.

    1. What happens: the request moves to HR for final approval. Nothing is taken off the balance yet; the days stay held as pending.
    2. Comment: optional. The employee sees it.
    3. Approve confirms.
  3. Or reject it

    Select Reject.

    1. Reason for rejecting: required. The employee sees it, so say what would work instead.
    2. Reject request ends the request. The held days go back to the employee's balance and they're emailed.

What happens next

  • Approved requests move to HR: see Give HR approval for leave. The employee sees With HR in Track your leave. They're emailed only when HR decides.
  • When your own leave is fully approved, requests from your team that are still waiting for you move to each person's secondary supervisor. While you're away, new requests go straight to the secondary supervisor too. People without a secondary supervisor stay in your queue.
