A journal template is a saved journal that never posts by itself. Use one for entries you make by hand again and again, such as a monthly rent accrual or a payroll allocation. When you use it, a new journal opens with the template's name, reference, lines and dimensions already filled in.

If the same journal should be made on a fixed schedule without you starting it, set up a recurring journal instead.

Steps

  1. Open Accounts › Journal Templates

In the menu on the left, select Accounts, then Journal Templates. The list shows each template with its Template No, Name, Reference, Date, Amount, Lines and Created By. Select New Template.

    1. Journal Templates in the Accounts menu.
    2. New Template.
    3. The ⋮ menu of a template.
    4. Use template starts a journal from it.
  2. Fill in the template

The template form is the same as a journal.

    1. Journal Date, Ref Number and Name. Date and name are required.
    2. The lines: Account Name, Debits or Credits, and Description. At least 2 lines.
    3. Total Debit and Total Credit. They must match (Balanced).
    4. The global dimensions.
    5. Save template.

You'll see Template created successfully. Nothing is posted.

  3. Start a journal from the template

On the Journal Templates list, select ⋮ on the template, then Use template. A new journal opens with everything from the template filled in.

Check the Journal Date and the amounts, change anything that's different this time, then Post or Submit for approval as in post a journal entry. The template itself doesn't change.

To change a template, select ⋮, then View, edit it and save. Delete removes a template. Journals already made from it aren't affected.
