Reconcile a bank account
Upload your bank statement, let WbizManager match it against what you have recorded for the bank account, and match the rest by hand.
Before you start
- Set up the chart of accountsThe bank account must be a posting account under a group named Cash and Cash Equivalents, or it isn't offered.
- Receive a paymentMoney received from customers is what the deposits on the statement are matched against.
- Post a journal entryItems only on the statement that aren't a bank charge or interest are recorded with a journal before you match them.
- Close a periodOnly if you post a bank charge or interest from the reconciliation. Its posting date must be in an open accounting period.
In this article
A bank reconciliation checks your books against the bank. You upload the bank's statement for a period, and WbizManager matches each statement line with a ledger entry on your bank account: deposits with money received, withdrawals with money paid out. What's left unmatched is either missing from your books or not yet through the bank.
Matching doesn't post anything. It only records which lines match. The one exception: a bank charge or interest that is on the statement but not in your books can be posted from the reconciliation, and it's matched in the same step (see the step Post a bank charge or interest below).
Steps
Open Accounts › Bank Reconciliation
In the menu on the left, select Accounts, then Bank Reconciliation. The list shows past reconciliations, 10 to a page; change the page or the number per page at the bottom. Filter them by Account, Date From and Date To. Select New Reconciliation.
If you have none yet, you'll see No reconciliations yet. With a filter set and nothing found, you'll see No reconciliations match these filters.
- Bank Reconciliation in the Accounts menu.
- New Reconciliation.
- Filters for past reconciliations.
Prepare the bank statement
Under 1. Bank Statement, select Template to download the Excel template. Copy your statement into it, one row per transaction:
Column What to enter Date The transaction date, written DD/MM/YYYY. Narration The bank's description. Deposits Money in. Leave it 0 for a withdrawal. Withdrawals Money out. Leave it 0 for a deposit. Balance Optional. The running balance. Each row needs an amount in Deposits or Withdrawals, never both.
- Template and Upload.
- 2. Select Account: the bank account in your books.
- 3. Date Range: From and To.
- Matching Criteria: Amount is always used. Add Date, Narration or Reference.
- AND (every chosen criterion must agree) or OR (any one is enough).
- Run Reconciliation.
Upload the statement and choose the account
- Select Upload and choose the filled-in template (.xlsx only). You'll see Statement uploaded successfully. The date range fills in from the statement.
- Under 2. Select Account, choose the bank account the statement is for. If there are none, you'll see There are no Cash & Cash Equivalent accounts to reconcile yet. Add one in the chart of accounts first.
- Check the From and To dates under 3. Date Range.
Choose how lines are matched, then run
Under Matching Criteria, Amount is always used. Select Date, Narration or Reference to make matching stricter. With AND, a pair must agree on every criterion you chose. With OR, agreeing on any one is enough.
Select Run Reconciliation. You'll see Reconciliation completed successfully. and the result opens.
Read the result
The result shows:
- TOTAL MATCHED: items paired successfully.
- UNMATCHED BANK: items in the statement only, for example bank charges you haven't recorded yet.
- UNMATCHED LEDGER: items in the ledger only, for example cheques not yet cleared.
- The status: Fully Reconciled, Partially Reconciled or Not Reconciled.
You can switch the optional criteria on or off on the result to run the matching again.
Match the rest by hand
Under Match by hand, tick lines on both sides: Bank statement and Ledger (bank account). You can match one statement line with several ledger entries, or several statement lines with one ledger entry. The Difference must be 0. Add a Note (optional) to say why they belong together, then select Match. You'll see Lines matched.
If a statement line is a bank charge or interest that isn't in your books, post it from here instead: see the next step.
To undo a match, find it under Matches, enter the reason (required) and select Remove match. Its lines go back to the unmatched lists. Match history shows every match and unmatch, automatic or by hand.
Post a bank charge or interest
Some lines are only on the statement because the bank made them: charges, fees, interest paid to you. You can post them to your books from here, and they're matched at once.
- Under Bank statement, tick that one line only. Don't tick a ledger entry.
- A box appears: Not in the books? Post this charge or fee from the statement and match it. (for money out) or …post this interest or other credit… (for money in). Select Post as bank charge or Post as interest.
- Fill in the form that opens:
- Charge account (money out) or Income account (money in): the other side of the entry, for example your bank charges expense or interest income account. Required. Control accounts aren't listed.
- Posting date: starts as the statement line's date. Required. It must fall within the reconciliation's From and To dates and in an open accounting period.
- Narration (optional): for example Bank charges or Interest received. Leave it empty and WbizManager writes Bank charge from statement: … or Bank interest from statement: … with the bank's description.
- Select Post … and match. The button shows the line's amount; you can't change it. You'll see Bank charge posted and matched. or Bank interest posted and matched.
The line leaves the unmatched list, and the new entry shows under Matches and Match history as a manual match. Select Cancel to close the form without posting.
What gets posted, on the posting date, with the reference BANKREC followed by the statement line's reference:
Statement line Debit Credit Money out (a bank charge or fee) The Charge account you chose The bank account being reconciled Money in (interest or other credit) The bank account being reconciled The Income account you chose Both sides are the statement line's full amount.
