All reports live under Reports in the menu on the left. They read the general ledger, which WbizManager fills every time a document posts (an invoice, a bill, a payment, a journal and so on). Running a report never posts anything and never changes your books.

Your role needs the view reports permission to see the Reports menu. Budget vs Actual by Month also needs the budget report permission, and the Asset Report and Disposal Report need the fixed asset report permission.

Steps

  1. Open Reports

In the menu on the left, select Reports. The menu lists every report. Groups such as Financial Statements, Management Reports or Tax Reports open when you select them.

    1. The Reports menu: every report, grouped.
    2. The tabs across the top: a shortcut to the eight most used reports.
    3. The cards on the Reports page: the same eight reports. Use the menu for the others.
  2. Choose the filters

Most reports share one filter bar. Nothing runs until you select Run, so you can set every filter first.

    1. Period: Month, Quarter, Year to date, Fiscal year or Custom dates.
    2. A date in the period (for Year to date it's called Up to): any date inside the period you want. With Custom dates you get From and To instead.
    3. Options of this report, here the extra columns of the Statement of Profit or Loss.
    4. More Filters opens a second row.
    5. Dimension Type and Dimension Value: only postings tagged with that value are counted.
    6. Add dimension adds another pair. A posting must match every pair.
    7. Run prepares the report.
    8. Export to Excel downloads exactly what is on screen. It stays grey until you run the report.
  3. Read the warnings

A yellow box above the figures means the report found something in your setup it had to guess. Read it before you trust the figures. The most common ones:

    The warning saysWhat to do
…could not be classified as current or non-current…Set the subclasses in Chart of Accounts › Statement Mapping: see set up the chart of accounts.
…profit or loss groups could not be classified…The same, for revenue and expense groups.
No account is classified as cash…Classify the bank and cash accounts as Cash in Cash Flow Mapping.
No Transfer of Net Profit account is designated…Turn on Use as Transfer of Net Profit account on your retained earnings account.
No account sits under "Cash and Cash Equivalents"…The Cash and Bank Book and Finance KPIs look for a group with exactly that name in the chart of accounts.
  4. Export

Select Export to Excel. The file carries your organisation's name and the same filters as the screen. Some reports also have Export CSV next to their table. The older screens (Trial Balance, General Ledger, Statement of Financial Position, Asset and Disposal reports) have an Export button above the table that saves what you see, including the columns you chose.

Amounts and signs

  • Amounts are in your base currency unless a column says "document currency".
  • On the newer reports, negative amounts are in brackets and red: (1,000.00).
  • The older screens have a Negative values box: choose Cr, - or () for how negatives look.

Who sees reports

Reports are for finance and management. Staff without the reports permission don't see the Reports menu.
