Three reports under Reports › Control Reports. Use them at month end, before you close a period, and whenever a figure needs explaining.

ReportAnswers
Journal RegisterEvery posting batch (day book) in the period: what posted, when, by whom, and does it balance?
Cash and Bank BookEvery movement on the cash and bank accounts, with a running balance and its reconciliation status.
Reversals and AdjustmentsWhat was reversed, voided, cancelled or reposted, and which documents were adjusted?

Steps

  1. Run the Journal Register

Select Reports › Control Reports › Journal Register. Choose the filters and select Run.

    1. Period.
    2. A date in the period (or Up to).
    3. Posted by: a user's name, or System for automatic postings such as depreciation.
    4. Document no.: one document, for example an invoice number.
    5. Only batches that do not balance: the quickest check before a month end.
    6. Run.
    7. Export to Excel.
    8. Batches, Lines, total Debit and Credit, and Batches that do not balance (should be 0).
    9. One line per batch: Date, Source, Document no., Posted by, Lines, Debit, Credit, Difference and Status (Balanced, Reversal, Reversed or Does not balance).

Up to 500 batches load at a time; Load more brings the next ones.

  2. Open a batch

Select a batch to see its lines underneath. This example looks up one invoice by its Document no.

    1. Document no.: the document you're looking for.
    2. Run.
    3. The batch. Select it.
    4. Posting batch: every line with its Date, Account, Note, Debit and Credit. Close hides it.

Use it to check which accounts a document really posted to. What gets posted says what each document should post.

  3. Run the Cash and Bank Book

Select Reports › Control Reports › Cash and Bank Book. Choose the period and an Account (or All cash and bank accounts) and select Run.

    1. Period.
    2. A date in the period (or Up to).
    3. Account: one bank or cash account, or all of them.
    4. Run.
    5. Export to Excel.

You get an Accounts table (Opening balance, Debit, Credit, Closing balance per account) and one line per movement: Date, Account, Source, Document no., Party, Narration, Debit, Credit, the running Balance, and Reconciled (Reconciled, Unmatched or Not reconciled, from bank reconciliation).

  4. Run Reversals and Adjustments

Select Reports › Control Reports › Reversals and Adjustments, choose the period and select Run. Two tabs:

    • Reversals: Reversed on, Kind, Source, Document no., Reversed by, Original date, Original posted by, Original debit, Reversal debit, Reason and Status.
    • Document adjustments: Date, Document, Action, Performed by, Reason and Details.

If nothing was reversed or adjusted you see "There are no reversals or adjustments in this period."

Good to know

  • Every report here only reads the ledger. None of them posts or changes anything.
  • The Journal Register's total debit and credit for a month equal the Grand Total of the Trial Balance for that month.
  • A batch that does not balance should never happen. If you find one, report it to your administrator with the document number.
